Open Scheduling Assistant. Once an invitee selects a suitable time, an invitation will be sent to all parties to immediately block time on. Share availability with your contacts with a simple copy-and-paste.Login to your webmail account. Once the meeting is set, click Send. (Optional) To make the event reoccurring, click Recurrence and set how often the meeting will happen.On the Scheduling Assistant tab, right click the icon next to the recipient's name. Create a new meeting request. You can, however, add recipients as optional attendees.Once a attendant is marked as optional, you may right click on their name again and click Make Required to change their attendance back. Right click on the name of the person whose attendance you wish to manage. Create a new calendar event by clicking the arrow next to New+ in either Outlook or your Outlook calendar.
![]() Each person you add will automatically be added as Required. If no match is found, or the matches returned aren't correct, you can search for attendees.5. Outlook Web App will search for matches as you type. This box works just like the To line in a new message. Type the names of people you want to invite in the Attendees box (see red below). Select Calendar icon at the bottom of the Outlook Web App window.Tip You can start entering meeting information here, or wait until you've finished with the Scheduling Assistant.If you added a date, time, duration of your meeting, and any attendees before you opened the Scheduling Assistant, they will be carried over and you can change them as needed. As you add attendees and a location, their calendar information will appear in the calendar grid along with your own (see green below). To remove an attendee, uncheck the box next to their name.7. You can select Add a room at the bottom of the Scheduling Assistant to see conference rooms from your organization's address list. To remove a room, uncheck the box next to it, and select a new room using step 9. You can change the conference room by unchecking the room and selecting the correct room. After you've selected a room, it will be added to the calendar grid. The name of the room will appear next to 'Rooms.' Outlook Make Meeting Optional11. Search the name of the room or select from the list.
